Privacy Policy - Walters Fencing App

This Privacy Policy explains how Twelve Thirteen Pty Ltd, trading as Walters Fencing ("we", "us", "our"), collects, uses, stores and discloses information when you use the Walters Fencing App ("the App"), available on the web and as a mobile application. By creating an account or using the App, you agree to the practices described below.

This policy is provided in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What information we collect We only collect information needed to provide the App's features:

Account information. When you create an account, we collect your email address and a securely stored password credential. This is used to sign you in and to associate your saved work with your account.

Information you create in the App. When you build, save or share a quote, we store the data you enter, which may include project names, site addresses, contact phone numbers and email addresses you choose to record for a job, fence specifications, pricing settings, and the map fence-lines and pins you draw. This is your working data and is stored so you can access it across your devices.

Payment information. If you subscribe to a paid plan, payment is processed by our payment provider, Stripe. We do not collect or store your full card details on our systems; Stripe handles card data directly and securely. We retain a record of your subscription status.

Location and mapping. The App includes a map tool for marking fence-lines on a property. When you use the map, you may search for an address or allow the App to centre the map on a location. Map and place-search functionality is provided by Google Maps Platform. We do not continuously track your location in the background.

Accounting connection (optional). If you choose to connect the App to Xero to send a quote, we use a secure authorisation process so the App can create a draft quote in your Xero account on your behalf. We store the connection tokens needed to maintain that link until you disconnect it.

Technical information. Like most apps, basic technical data (such as error logs) may be generated to help the App run reliably and to diagnose problems.

How we use your information We use the information we collect to:

Provide, operate and maintain the App and its features Create your account and sign you in Save, sync and display the quotes and maps you create Process and manage subscriptions Provide the map and address-search features Send quotes to your Xero account when you request it Diagnose problems and improve the App

We do not sell your personal information. We do not use your data for advertising.

Who we share information with We share information only with the service providers that make the App work, and only as needed for them to perform their function:

Supabase, secure cloud database and authentication (storage of your account and saved work) Stripe, payment processing for subscriptions Google Maps Platform, maps and address search Xero, only if you choose to connect it, to send quotes you create Netlify, hosting of the App

These providers are bound by their own privacy and security obligations. We may also disclose information if required by law.

Where your data is stored Your data is stored on secure cloud infrastructure. Our primary database is hosted in a Sydney, Australia region. Some of our service providers process limited data overseas in the course of providing their service: Stripe, Google Maps Platform and Netlify process data in the United States, and Xero (if you choose to connect it) may process data outside Australia. We take reasonable steps to ensure your information is handled securely wherever it is processed.

Data security We use industry-standard measures to protect your information, including encrypted connections and access controls that restrict your saved data to your own account. While no system can be guaranteed completely secure, we take reasonable steps to protect your information from misuse, loss and unauthorised access.

Data breach notification If we become aware of a data breach involving your personal information that is likely to result in serious harm, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme in the Privacy Act 1988 (Cth). We will also take steps to contain the breach and reduce the risk of harm.

How long we keep your information We keep your account information and the work you save for as long as your account is active. If you delete saved quotes or maps, or close your account, we delete the associated personal information within a reasonable period, except where we are required to keep certain records by law. We do not keep personal information for longer than we need it.

Your rights and choices You can:

Access and update your account information and saved work within the App Delete your saved quotes and maps within the App Disconnect Xero at any time from the App's settings Request deletion of your account and associated data by contacting us at the email above Request a copy of the personal information we hold about you

We will respond to such requests within a reasonable time.

Complaints If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at office@waltersfencing.com.au. We will acknowledge your complaint and respond within a reasonable time, usually within 30 days. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

Children The App is intended for use by businesses and adults. It is not directed at children, and we do not knowingly collect information from anyone under 18.

Changes to this policy We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through the App or our website.
